Key Responsibilities

  • Manage calendars and schedules for multiple team members, including prioritizing appointments, scheduling meetings, and ensuring timely reminders.
  • Arrange travel itineraries, including booking flights, accommodations, and ground transportation.
  • Coordinate meetings and events, including booking venues, preparing agendas, and managing logistics.
  • Oversee administrative processes, such as expense reports, purchasing, and vendor management.
  • Maintain accurate records and filing systems, both physical and electronic.
  • Respond to inquiries and requests from internal and external stakeholders in a timely and professional manner.
  • Manage office supplies and equipment, ensuring smooth operations.
  • Prepare presentations and reports as needed.
  • Stay up-to-date on administrative best practices and procedures.
  • Identify opportunities to improve administrative processes and workflows.

Required Skills and Qualifications

  • Minimum of 2-3 years of experience in an administrative role.
  • Proven experience in managing calendars, travel arrangements, and logistics.
  • Strong organizational and time management skills.
  • Excellent communication, interpersonal, and collaboration skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize tasks and work effectively under pressure.
  • Meticulous attention to detail and a commitment to accuracy.
  • Ability to learn new software and adapt to changing priorities.
  • Positive attitude and a willingness to go the extra mile.
